Verify the contracting business and scope
Request the legal name and tax identification of the business that will sign the contract, carry out the work and issue the invoice. Establish whether any work is subcontracted and who remains responsible for it.
The documents needed depend on the actual work: electrical installation, refrigeration, heating, structural work and independent advice are not interchangeable activities. A group logo is not evidence that each participant holds the authorisation needed for your project.
- Ask for the applicable installation-company registration or authorisation and the activity it covers.
- Check the issuing authority, registration identifier and current status directly where a register is available.
- Match the named business to the quote, invoice and commissioning documents.
- Ask who signs the installation certificate and which authority receives it.
Electrical and heating documentation
For electrical work, ask the contractor which design, inspection and installation-certificate requirements apply under the current low-voltage rules and the regional procedure. Requirements vary with the installation; this checklist does not establish that a particular project needs only a single form.
For heating, air conditioning or refrigerant work, ask which thermal-installation and refrigerant-handling rules apply. Verify relevant company and individual permissions with the competent authority. Do not treat a manufacturer's training course as a substitute for statutory authorisation.
Manufacturer authorisation and equipment compliance
If a proposal claims authorised installer or partner status, request a current manufacturer-issued record identifying the exact business and relevant product range. Check the manufacturer directory or contact the manufacturer directly.
Product conformity documents and installation credentials answer different questions. Request the exact equipment model, applicable declarations, installation instructions and compatible component list. A logo on a website or a family-level brochure is not enough.
- Check dates, territory and product scope of a claimed authorisation.
- Confirm who supports a warranty claim in Spain.
- Separate equipment warranty, performance conditions and workmanship obligations.
- Read exclusions, registration requirements and any maintenance conditions before signing.
Insurance, handover and independent checks
Request evidence of applicable insurance, including the insured business, relevant work and period of cover. Ask the insurer or broker to clarify uncertainties rather than assuming a policy covers every subcontractor or activity.
Agree the handover pack before work starts: final specification, test and commissioning records, relevant certificates, operating instructions, monitoring access and contact details for defects. Keep these with the contract and invoices.
